This Privacy Policy explains how LEXICOGNI TECHNOLOGIES (OPC) PRIVATE LIMITED (“Company”, “we”, “us”, or “our”) collects, uses, stores, protects, and discloses personal information when you use CogniVenue-Legal, including the app, account services, email verification, subscription features, payment-related flows, support, cloud features, and related services.
By creating an account, verifying your email address, accepting this Privacy Policy, subscribing to, or using CogniVenue-Legal, you confirm that you have read and understood this Privacy Policy. If you do not agree, you must not create an account, verify your email, or use account-based features.
1. Our Privacy Approach
CogniVenue-Legal is designed as a local-first legal productivity app. Your ordinary workspace documents, Cases, annotations, Canvas/PenPad work, recordings, exports, and local backups may remain on your device unless you choose to upload, sync, back up, restore, process, or transmit them through an online feature.
For normal account creation and email verification, we ask for your email address. We use your email address to verify your account, secure login, manage subscription/account status, provide support, and send important account, security, payment, legal, or service-related notices.
We do not sell your personal information. We do not share your personal information with third parties for advertising. Promotional or marketing emails are sent only when you have opted in, or where applicable law otherwise permits.
2. Role Under Indian Data Protection Law
For personal data processed through our account systems, cloud services, support systems, and other Company-controlled services, the Company acts as the data fiduciary or responsible entity to the extent applicable under Indian data-protection law, including the Digital Personal Data Protection Act, 2023 and applicable rules.
Where you upload, store, analyze, or process client, case, employee, consumer, third-party, or professional material in the App, you are responsible for ensuring that your use of that material complies with applicable law, professional obligations, client instructions, privilege, confidentiality duties, and consent or notice requirements.
3. Information We Collect
3.1 Email Address
We collect your email address for account creation, email verification, login/session authentication, account recovery, subscription or account-status management, important service notices, fraud prevention, security, and support.
Your email may be stored in normalized form where required for account operation, verification, support, payment confirmation, and email delivery. Security-sensitive tokens and one-time-password records are protected using hashing and/or other security controls. Where technically appropriate, we may use hashed, encrypted, obfuscated, or access-controlled forms of identifiers for security, audit, and lookup purposes.
3.2 Account and Subscription Information
We may store basic account information, including email verification status, subscription status, purchase status, Case limits or usage limits, free trial, paid access, lifetime access, pricing tier, account creation/update timestamps, device/session status, and related operational records.
3.3 Consent and Email Preferences
We provide separate choices for product updates and offers/promotions. These choices are optional and are off by default unless you actively select them.
When you save or update these choices, we may record the decision, the consent text version, the consent source, and timestamps showing when each preference was opted in or declined. You may change these preferences later in the app. Important account, payment, security, legal, or service notices are not marketing messages and may still be sent when necessary.
3.4 Payment-Related Information
CogniVenue-Legal does not itself require your phone/mobile number, card number, UPI details, bank details, wallet details, CVV, PIN, net-banking credentials, or full payment credentials for account verification.
If you make a payment, the payment gateway, app store, bank, card network, UPI provider, or payment processor may ask for additional information such as name, phone/mobile number, billing information, tax information, payment method, or transaction details. That information is collected and processed by the relevant payment provider under its own terms and privacy policy.
CogniVenue-Legal may receive and store limited payment confirmation records needed to activate or manage your subscription, such as transaction ID, order ID, payment status, amount, plan purchased, date/time, provider reference, invoice status, tax/accounting reference, or payment failure status. We do not store complete card numbers, CVV, UPI PINs, banking passwords, or full payment credentials.
3.5 Technical and Security Information
To operate and secure CogniVenue-Legal, we may process limited technical information such as login/session tokens, request timestamps, server logs, error logs, app version, platform, device or operating system type, IP address or approximate network information, payment webhook logs, security logs, and diagnostic information needed to detect abuse, fix errors, prevent fraud, and maintain service reliability.
3.6 User Content and App Workspace Data
CogniVenue-Legal may allow you to import, create, annotate, process, search, store, back up, restore, sync, or export documents, notes, images, PDFs, text, audio, annotations, canvas objects, and other content (“User Content”). Your User Content belongs to you.
We process User Content only as required to provide app features such as document import, OCR, AI-assisted search, annotation, backup, restore, sync, account features, and technical support, depending on the features you use.
Local workspace data stored on your device is controlled by you. We may not be able to see, retrieve, delete, or manage local device files unless the App has a specific feature and permission to do so.
3.7 Support and Feedback
If you contact support or send feedback, we may process your email address, message, category, app version, platform, diagnostic details you choose to include, and related correspondence. Do not include confidential case documents or client information in support messages unless necessary and authorized by you.
4. How We Use Information
We use information to create and verify accounts, authenticate login, maintain account security, provide app features, manage subscriptions and Case limits, process payment confirmations, prevent fraud and misuse, provide support, send important notices, troubleshoot bugs and technical issues, maintain and improve CogniVenue-Legal, comply with law, and enforce our Terms and Conditions.
5. Consent, Notice, and Choices
Where consent is required, we request consent through clear affirmative actions such as checkboxes, preference toggles, account settings, or in-app notices. Consent for marketing is separate from required account, legal, and security communications.
You may withdraw marketing consent by changing your email preferences. You may request access, correction, deletion, consent withdrawal, grievance redressal, or other rights where applicable by contacting us at support@lexicogni.in. Withdrawal of consent may affect account-based, paid, cloud, backup, restore, support, or security features where the information is necessary to provide the service.
6. Sharing of Information
We do not sell, rent, trade, or share personal information for third-party advertising.
We may share limited information with service providers who help operate CogniVenue-Legal, including cloud hosting, database, email delivery, payment processing, app-store processing, support, security, diagnostics, and technical infrastructure providers.
We may also disclose information when required by law, court order, government request, regulatory process, legal proceeding, or lawful authority; to protect rights, safety, property, security, or legal interests; in connection with a business transfer; in connection with a licensor or service-provider transition needed to operate the App; or with your consent.
7. Third-Party Payment Providers and App Stores
Payments may be handled by third-party payment gateways, app stores, banks, card networks, UPI providers, or payment processors. Their collection and use of payment-related information is governed by their own terms and privacy policies. You should review those policies before making payments.
8. Data Security
We use reasonable technical and organizational safeguards to protect personal information against unauthorized access, misuse, loss, alteration, disclosure, or destruction. These may include access controls, token hashing, secret management, HTTPS/TLS, logging controls, database permissions, and operational security measures.
No app, device, cloud service, database, server, payment system, internet transmission, or security system is completely secure. You are responsible for securing your device, email account, login credentials, and any documents or content you store in CogniVenue-Legal.
9. Data Retention
We retain personal information only for as long as necessary for the purposes described in this Privacy Policy, including account operation, subscription management, consent records, legal compliance, security, fraud prevention, dispute resolution, backup, audit, tax/accounting, payment processing, and enforcement of our Terms.
Email/account records may be retained while your account remains active and for a reasonable period thereafter where required for legal, accounting, security, fraud-prevention, business-record, or dispute purposes. Payment confirmation records may be retained as required for tax, accounting, audit, refund, dispute, chargeback, legal, or compliance purposes.
10. Account Deletion, Cloud Data, and Local Device Responsibility
You may request deletion of your account by contacting us at support@lexicogni.in or using any in-app deletion option if available.
When you initiate an in-app “Delete Data,” “Delete Account,” or similar deletion request, we will delete or de-identify applicable account information and User Content stored on Company-controlled cloud servers within a reasonable period, unless retention is required or permitted for legal compliance, tax/accounting, payment disputes, fraud prevention, security, backup cleanup cycles, dispute resolution, enforcement of rights, or other lawful purposes. We aim to complete ordinary cloud deletion requests within thirty (30) days where technically and legally feasible.
Deleting cloud or account data does not delete local data on your device. Your Cases, documents, Canvas/PenPad work, annotations, recordings, local databases, local backups, exported outputs, downloaded PDFs, DOCX files, CSV files, images, audio files, screenshots, removable-storage copies, and operating-system backups may remain on your tablet, phone, computer, or other user-controlled storage.
You are solely responsible for manually deleting local app data, uninstalling the App if desired, clearing operating-system storage where appropriate, and deleting local backups, exported files, downloaded files, and other output files from your device or user-controlled storage. The Company is not responsible for access to local residual data that remains because you did not delete it from your own device or storage locations.
11. Your Rights
Subject to applicable law, you may have rights to request access to personal information, request correction of inaccurate information, request deletion where legally permitted, withdraw consent where processing is based on consent, raise a grievance or complaint, ask how information is used, and nominate another person to exercise rights where applicable.
To exercise rights, contact support@lexicogni.in. We may need to verify your identity before acting on a request.
12. Children
CogniVenue-Legal is intended for users who are legally competent to use the service and agree to the Terms and Conditions. If you are a minor, you must use CogniVenue-Legal only with the consent and supervision of a parent or lawful guardian where required by law. We do not knowingly collect personal information from children in violation of applicable law.
13. Cross-Border Processing
Depending on service providers, hosting providers, payment processors, app stores, email providers, AI/OCR providers, or technical infrastructure, information may be processed or stored in India or other countries. Where required by law, we will take reasonable steps to ensure appropriate safeguards.
14. Confidential, Privileged, and Professional Material
You are responsible for deciding whether to upload, store, process, or transmit confidential, privileged, client, court, employee, consumer, or regulated material through the App. You are responsible for obtaining required permissions and for complying with professional, legal, contractual, and ethical duties that apply to you.
15. Changes to This Privacy Policy
We may update this Privacy Policy from time to time. Updated versions may be shown in-app, on our website, during login, during email verification, or through other reasonable means. Continued use after an updated Privacy Policy becomes effective means you accept the updated Privacy Policy where permitted by law.
